How Do I Take a Payment?

The purpose of this article is to provide an overview of how to send a payment link or take a payment over the phone.

  1. Search for the Quote or Invoice number in Salesforce. Select the appropriate opportunity associated to the Quote or Invoice number.
Once on the appropriate opportunity, make sure the quote referenced by the customer is the primary quote on the opportunity. If the customer references an invoice number, please ensure the total on the opportunity matches the amount they intend to pay. If not, look to see if there is more than one quote on the opportunity that includes a matching total.

From the Opportunity page:

  1. Click on the Email tab. Click the Insert a template icon. Ensure All Classic Templates are selected and search "Payment". Click "Customer Payment Link" in the Name column. Enter the customer's email in the "To" field.

  1. Ensure the Payment amount matches the opportunity. Send this email to the customer. Confirm the customer received the email while on the call.

How To Take a Customer Payment via Phone

  1. If a customer would like to pay over the phone, locate the opportunity. Verify the following:
  • Correct Account (name & state)
  • Correct Amount
  • Invoice # or Quote #
  1. In the opportunity scroll down to the "Accounting/Xero Details" section. Copy the OmniFund Customer Number. Click on the "OmniFund Login Link" to go into OmniFund to receive a payment.
  1. From the home screen, click the green "New Transaction" button.
  1. Paste the Omnifund Customer Number (copied from Salesforce) in the customer field.
  1. Click "Edit" next to the customer name. Add the customer's email. Multiple emails can be entered with a comma separating them. Click "Save".
  1. Select the account for the payment. If they have paid with a credit card or ACH in the past, it will be listed. If not (or if a new one needs to be used), click "new" and enter the details. For credit card payments, you will only need to enter the card number and expiration date.

  1. Enter the payment details: Cvv2 (number on the back of the card), Amount, and Invoice number. The memo is optional and will appear on the receipt. Click "Process Now".
  1. The process results page appears. The Receipt is emailed to those you listed in the Customer field.
