AE Quote Approval Process

Purpose

This article walks through the changes, process, and notes around Quote approvals for New Customer opportunities in Salesforce

Intended Audience

  • Account Executives (AE)

What's Changing

  • Quotes have a status (Draft, In Review, Approved, Denied)
  • All quotes will need to be approved. This process will become a combination of automated approvals (for 10% or less) and a new approval process going to Will Clemens.
  • Quotes approved will remain in the approved status until the discount moves above the approved threshold. This will move it back to Draft and require approval another time.
  • Quote Documents cannot be generated until a quote is the Approved status.

Notes

  • Small School discounts will require a direct approval, and should be notated in approval comments

How to get approved:

  1. When a quote has been created, you will now see a Submit for Approval button on the top of the record page.
  2. Clicking this button will provide a pop up window to allow approval comments
  3. Two different things will happen from this point
    1. If the overall discount is 10% or less, the quote will be automatically moved from In Review to Approved
    2. If the overall discount is greater than 10%, the quote will be moved to In Review and Will is informed of pending approval
  4. Once approved or denied the quote status will be adjusted to reflect and comments of the decision will show in the Approval History list view on the quote record

These are the standard discounts that reps are allowed to use without approval. Please note that these discounts are optional and should be used as a sales tactic according to the reps discretion. All other discounts will need to be approved by a manager.
