Booking Meeting & Phone Booth Space in Plano

Purpose

The purpose of this article is to provide an overview of meeting spaces & how to book them in our Plano Office

There are two types of spaces to book, Meeting Space & Rooms. They are intended to be used as:

  • Meeting Space: Meetings consisting of more than 2 people and possibly including remote team members. These rooms may have actual meeting hardware to use.
  • Rooms: Customer facing meetings or focus time to remove distractions. Please partner with your manager if you feel like a Room booth is needed more often than expect. (Personal meeting space)

This begins to lay the foundation of how new office space will function

Intended Audience

  • Team members located around the Plano office and anyone that travels to the office space.

Notes

  • The staff site has an updated calendar page to show all bookable spaces and their current reservations
  • Please be mindful of your time in these spaces to allow for ad hoc meetings that may need some privacy

How to Book a Meeting Space

  1. On your computer, open Google Calendar.
  2. Create a new event or open an existing one.
    1. If you are editing an existing event, click Edit event.
  3. Click Rooms
    1. Based on who you invite, you can choose from suggested rooms or search for a new one. Click the rooms or resources you want to add.
  4. Click Save.
Declined Events? Could be from this:
- Recurring events: Make sure the room's available for at least two-thirds of the events, and isn't unavailable more than 5 times.
- Make sure room is available and not currently booked at the proposed time

How to see what each meeting space's availability

  1. On your computer, open the staff site
  2. Click on the Calendars top menu Item
    1. Meeting Spaces show full weekly calendars
    2. Phone booths show an Agenda style that show a running list
