Searching in Salesforce

Searching for records (accounts, contacts, leads, cases, etc) in Salesforce is easy! However, here are a few best practices to make your searching even more efficient.

When you search for accounts, contacts, opportunities, cases, or leads, you see results based on:

  • Activity—records that you work with most frequently and most recent.
  • Location—records that are related to a city, state, or country that you work with often.
  • Ownership—records that you interact with frequently and that are owned by or modified by other people.
  1. Search for the account using the account name.
  2. If the account does not populate, click enter to pull up the global search results. If any records are related to your search they will display. Click on Accounts on the left side to see if any accounts exist.
  1. If you are still not finding the account, try to search for the following:
  • District Name (Parent account) - once you open the record click on the hierarchy icon to see if the account is listed there.
  • Contact - in the contact record, take a look in the Related Accounts section to see if the account is listed there.
  • Type in the address of the account.
  1. If you still cannot locate the account, create a new account by following the steps in this article to create a new account record.
  2. Click the menu drop-down, click Accounts. Click New.
  1. Select either District, School, or Trial.
  2. Fill out the following fields:
  • Account Name
  • Parent Account (if applicable, this is usually the school district)
Please note - A manager will have to add the Parent Account for you. Once you have created the account, please let your manager know so that they can map the account to the appropriate parent account.
  • Type
  • Phone
  • Website
  • Shipping and Billing Addresses
  1. Click Save.
