How to send a list email in Salesforce

Purpose

This article provides a user story to why list emails should be used in Salesforce as an Account Executive (AE).

  • As an account executive, I want to email multiple prospects with a single template that does not have a distinct next follow up step.

Intended Audience

  • New Sales:
    • Senior Account Executive (AE)
    • Account Executive (AE)

Must Consider Information

  • Salesforce has a hard limit of 5000 list email sends per “day” - for the entire company (typically rolling 24 hours)
    • This limit may require some logistics and knowledge of whom is sending what emails on a given day/week
  • List emails can not attach to any other objects other than Contacts/Leads
  • If Google believes your emails being sent as potential spam, your account will be automatically suspended
    • This will require IT to unlock the account, and will be done as soon as the current sends are understood (typically a 15-90 min process)
  • Singular domain emails should be accounted for and not hit more than a few times in a single send. If this is disregarded, the domain admin for the delivery may choose to mark as spam or block our domain. 
  • **If too many suspensions occur, this will need to be more tightly controlled & monitored**

How To Create A Trial Upgrade

  1. Create your email template and use merge fields to have the email update intelligently

    1. Most Likely used:
      1. {{{Sender.firstName}}}
      2. {{{Sender.signature}}}
      3. {{{Recipient.firstName}}}
  3. Use a contact or lead list view to create a filtered list of prospects
  4. Check anywhere from 1-200 records you wish to email
  5. Click the dropdown to the right of the buttons
  6. Choose “Send List Email”
  7. Fill in the subject and message OR choose a template
  8. Choose review to see a preview
  9. Click Send or Send Later
