This process is for Managers only.

For end users or Managers

Details to be aware of for PL accounts:

  • Related contacts on BOTH accounts
  • One must be removed to allow merge to complete
  • Which account was older?
  • What NCES records are associated with accounts being merged?
  • Most accounts exist, but could be on different parent accounts
  • Use outside resources to look for possible data discrepancies (ES vs Elem School, EL vs Elementary, etc.)
  1. Duplicate accounts are presented
  • Matching Rules to trigger Duplicate rules: 
    • (Account: NameFUZZY: COMPANY NAMEMatchBlank = FALSE) AND ((Account: ShippingPostalCodeEXACTMatchBlank = FALSE) OR (Account: BillingPostalCodeEXACTMatchBlank = FALSE))
  1. Begin to validate a few key pieces of information on Account record

  2. Last Modified Date
  3. NCES Record
  4. Related Quick Links
  • Opportunities
  • Related Contacts (cannot be duplicated across both accounts or merge will fail)
  • Active Contracts (Trial or Standard)
  • Active Subscriptions
  1. If account does show its a duplicate the names or Zip Codes need to be made to match to initiate merging
  1. Account Owner must be a direct report of manager (e.g. Dalton’s reports are AEs, Kelly’s reports are CSMs)
  2. Follow through Merge Tool steps
  3. Select affected accounts (can be up to 3)
  • Select data to be kept
  • Merge (CANNOT BE UNDONE)
