List Views Overview

List Views allow you to see a filtered list of records, such as leads, contacts, or accounts in Salesforce. List views are a great way to sort, prioritize, and analyze the records that are most important to you.

You access list views from object home pages. Each object (Lead, Account, Contact, Account, Tasks) also has a Recently Viewed list view that you can filter. It’s the list that includes the object in its name, such as Recently Viewed Leads or Recently Viewed Accounts.

Here’s an example of how the list view for Leads looks.

You can tell that you are on a list view page when you see the list view header at the top of the page. List view data columns can be sorted by clicking on the column name.

List View Controls

Let's take a closer look at the controls on the list view header below

Icon 1 is the List View dropdown menu. Click the down arrow to access the list views for the object.

You can search the available saved list view filters by entering your search term in the search bar.

Icon 2 is the Pin List icon. Unless you pin a different list view, every time you navigate to an object’s home page, you will see a summary of your recently viewed records.

To pin a different list, select a different list view using the list view dropdown menu, then click the pin icon.

Icon 3 is the List View Controls menu, or the the gear icon.

Click to access list view actions, including creating, renaming, cloning, and sharing them. You can also choose which fields to show in a list and editing filters that you’ve applied.

For any list views that you create, click on the gear icon - click Sharing Settings - set to "Only I can see this list view".

Icon 4 is the Layouts icon. Click here to toggle between displaying lists in the standard table view or the Kanban view. The icon changes to match the selected view.

Kanban is a workflow visualization tool. When working with task lists. Use the Split View to see all of your tasks on the left side of the page, plus the details for a selected task on the right.

Icon 5 is the Refresh icon. Click here to get a fresh view of a list more quickly than doing a full page reload.

Icon 6 is the Edit icon. Click here to update fields in your list. You move to the first editable field in the list. Edited fields are highlighted in yellow to remind you to save your changes. Not all fields are editable in a list view, but rather are display only.

Icon 7 is the Charts icon. Click here to transform list data into pictures that show things like percentages, totals per account and other useful information.

Icon 8 is the Filter icon. Click here to narrow or expand the records that appear in a list view by adding, modifying, or removing filters.
