Zoom Scheduling Privilege: How to Manage Meetings for Other Users

Overview

Managers may need to schedule and manage Zoom meetings for members of their teams. This guide explains how scheduling privileges work in Zoom.

Understanding Scheduling Privilege

Zoom’s scheduling privilege allows designated users to:

  • Schedule meetings on behalf of others.
  • Access cloud recordings and meeting reports for these meetings.
  • Act as alternative hosts.

Note:

  • Scheduling privilege cannot be automatically assigned via user groups.
  • Users must explicitly grant permission individually.

Requirements

  • Both users must have licensed Zoom accounts.

Granting Scheduling Privilege

Each user must grant scheduling privileges individually by following these steps:

  1. Sign in to the Zoom Web Portal.
  2. Navigate to Settings from the left-hand menu.

  1. Select the Meeting tab.

  1. Click on Other at the bottom of the menu.

  1. Scroll down to the Schedule Privilege section.

  1. Click Add next to Assign scheduling privilege to.
  2. Enter the email address of the user you want to grant scheduling privileges to.
  3. Click Save.

Important:

  • Users must sign out and sign back into their Zoom app for changes to take effect.

Scheduling Meetings for Another User

Once granted privileges, follow these steps:

Using the Zoom Desktop App:

  1. Open the Zoom desktop app.
  2. Click Schedule on the Home tab.
  3. In the scheduling window, locate Schedule for below the meeting topic.
  4. Select the user you want to schedule the meeting for.
  5. Adjust other meeting settings as required.
  6. Click Save.

Troubleshooting

  • If a user does not appear in your scheduling dropdown, ensure they have explicitly assigned you scheduling privileges and signed out and back into Zoom.
  • Verify both accounts have active Zoom licenses.
